Warehouse and handheld

PartLogic provides a focused warehouse-control foundation for barcode-led receiving, stock movements and counts. It can also connect with existing ERP and warehouse systems where those systems need to remain in place. Day-to-day work spans the web portal and the PartLogic mobile app for floor tasks.
Overview
Use the portal to confirm which Site and stock location a part belongs to (UI labels may say Customer Site and Device / Storeroom), including Min/Max and bin location. Use the mobile app on a phone or handheld to run Stock Check, scan Barcode, open Parts, or Add Part at the shelf. Hierarchy detail: Portal data model.
1. Portal companion screens
In Parts, open a record and scroll to Sites. Expand the site to see Storerooms (stock locations) with Physical count, Pack Size, and Min/Max. Edit those rows when locations or quantities need correcting from the desk. Administration → Storerooms manages stock-location definitions for your organisation.
2. Sign in on the mobile app
Install or open the PartLogic mobile app on the handheld, then sign in with the same portal credentials your administrator issued. Confirm you land on the device menu before scanning.
Current limitation: Accounts created using Google-only authentication cannot currently sign in to the PartLogic mobile app. Mobile access requires a conventional PartLogic email address and password.
4. Set up shelf barcodes
Before floor scanning works smoothly, print the barcode label list for the stock location and place each label on the shelf or rack where that product lives. Staff then scan the shelf label in the PartLogic mobile app to create stock in / stock out (and related) transactions against the correct product—without needing to handle an individual item tag.
- Print the barcode label list for the Site / stock location you are setting up (from the portal report or label print option your organisation uses—see Reports basics for Stock List and related reports).
- Cut or separate labels and affix each one on the rack or shelf edge beneath (or next to) the matching bin, box, or pick face.
- Confirm the printed code matches the product at that location (PartLogic SKU / Device SKU and description on the label).
- Open the mobile app Barcode flow and test-scan a shelf label to confirm the product and quantity controls appear as expected.
This shelf/rack label approach is the standard setup for store and storeroom scanning. If you need barcodes printed per individual item tag or hang-tag instead, email support@partlogic.co.uk.
5. Stock Check and barcode
Choose Stock Check for count workflows, or open the Barcode tab to scan a shelf label for stock in / stock out. Select the direction the app offers (stock in or stock out), scan the barcode, then confirm quantity and location when prompted and save. A successful transaction typically shows a saved confirmation on the device and updates the on-hand count for that stock location (Device / Storeroom).
Device steps (when browser capture is limited)
- Unlock the handheld and open the PartLogic mobile app.
- Sign in; confirm the correct Site / stock location context if prompted.
- Use Barcode or Stock Check; choose stock in or stock out when offered; scan the shelf or part label.
- Enter or confirm quantity and location; save and watch for the confirmation.
- If the item is missing on-device, assign it from Parts (or Add Part), confirm the barcode matches the GTIN or Device SKU, then retry the scan.
Barcode troubleshooting
- Barcode not recognised — confirm the shelf label matches the part's GTIN or Device SKU, that the label is affixed at the correct rack position, and that the product is assigned to the stock location you are working in.
- Wrong Site or stock location — sign out/in or switch context if the app offers it; in the portal, check Sites / Storerooms on the part Summary.
- Camera permission — allow camera access for the PartLogic app in the device settings if the scanner view stays blank.
- GTIN vs internal barcode — manufacturer GTINs and internal Device SKUs are different identifiers; scan the code that is stored on the part for that location.
- Product not assigned to location — link the part under Sites → Storerooms in the portal (or Add Part on the device), then retry.
- Scan not updating quantity — confirm you saved after entering quantity, refresh the part Summary Physical count, and retry once. If counts still do not move, contact support@partlogic.co.uk.
Stock adjustments
Stock in (credit-style) increases on-hand quantity at the stock location; stock out (debit-style) decreases it. Movements from successful barcode or Stock Check saves update the Physical count for that Device / Storeroom.
Review movement history in Reports Hub—typically the Debit (stock-out) and Credit (stock-in) reports, plus Stock List for on-hand positions.
To correct an accidental transaction, enter an offsetting stock in or stock out for the same part and location when that is operationally appropriate, or adjust quantities from the part's Storeroom edit controls in the portal. These docs do not describe a one-click reverse of a saved handheld transaction—if you need a transaction voided or corrected beyond an offsetting move, contact support@partlogic.co.uk.
